Do you ever look at a pile of papers and think to yourself, “gee this looks disorganized, I would just LOVE to file those documents into their rightful homes!”?
Or, do you ever come across a stack of client files and think “wow… those client files look like they need to be closed, get me a cup of hot coffee and I would gladly dive into that task!”
Or, maybe, even, do you ever find yourself on the phone with a stranger, asking them questions like “has a court action been initiated?” or “can I please get your full name and the names of all your children?”?
If any of the above are remotely true, read on. Duncan Allen Law LLP (“DAL”) is hiring an administrative assistant!
DAL is a boutique family law firm with offices in Nanaimo and Qualicum Beach, and remote employees in Comox and Vancouver. Our team is made up of smart, hilarious people who care about each other and love to rant and eat baked goods and make wise cracks and cheer each other on in both our professional and private lives. We enjoy flexible schedules that accommodate our work/life balance and parenting schedules, wearing comfortable pants, and most of all, helping to guide our clients through the tricky and usually stressful journey that is family law with an approach that is warm, compassionate, and competent.
There is more good news… you do not need to know anything about law to be an administrative assistant at DAL! We are looking for someone to help with the day-to-day functioning of our office. We are a paperless, tech-savvy bunch, and we’d love it if our new colleague knew their way around a printer/scanner/fax machine, in addition to Microsoft 365. Our ideal candidate is willing to learn new systems and pitch in where needed. Primary responsibilities include:
- Filing and scanning documents;
- Opening and closing client files;
- Data entry;
- Conducting brief client intake interviews over the phone;
- Running errands and stocking supplies; and
- Reception relief.
Our dream hire is a consummate professional (meaning they take their job seriously, are honest and hardworking, and understand confidentiality), organized, and eager to be a part of a great team. Preferably, they will have worked in an office before. Preference will be given to applicants who have completed an office administration certificate.
The position is full-time (8:30 a.m. to 4:30 p.m., Monday to Friday), in-person at our bustling downtown Nanaimo office. The position is available immediately, but of course, we are willing to wait for the right person.
If you love administering things, please send your resume and a cover letter which showcases your personality and talents to Brendan Burns directly at billing@duncanallenlaw.com. We strongly encourage all candidates to explore our website prior to applying to get a feel for our vision and values. Compensation will depend on the experience you bring to the position, and includes three weeks of vacation per year, a health spending account, wellness incentive, and many Michael Scott references.
Please note, only those selected for an interview will be contacted. We will be interviewing on a rolling basis until we find the right person for our team.
